Now that you have your project set up in TRUX, it’s time to schedule work for your drivers.
There are two easy ways to schedule work for your drivers and 3rd party haulers.
- Click the SCHEDULE WORK button from any page within TRUX and click an open project for which you would like to schedule work. OR Click PROJECTS on the left navigation menu and hover over the project for which you would like to schedule work and click the orange SCHEDULE WORK calendar icon
- Complete the Schedule Work form to set up work
- Start Time - This is when your drivers will be requested to punch-in.
- Set Expiration Time (optional) - If you will be dispatching to a 3rd party hauler, they will be able to accept/punch-in to the job up to the Expiration Time. If you will be dispatching to the TRUX Marketplace, this is how long after the start time we should search for a truck? Unless it’s an all-day job, this should be first thing in the morning. If you are willing to take a truck at any time throughout the day, this time should extend throughout the day.
- Stagger (optional) - Each truck will show up at a fixed time after the previous truck with the first truck arriving at the chosen start time.
-
Start and End Locations - Pick from the list of existing locations, or create a new one. Once you enter an address, you will need to set the geofence around your location. A geofence is a virtual boundary, set up around a specific location, such as around a specific job site, quarry, plant, or stockyard.
- For Start locations, you can select to enforce the geofence for punch in. If this check-box is selected, a hauler can not punch in to a job unless they are within the geofence.
- For End locations, you can select to enforce the geofence for punch out. If this check-box is selected, when a hauler attempts to punch out of the shift outside of the destination location the shift will be disputed.
-
If the hauler continues to punch out the shift is disputed and you must approve the shift manually in Trux.
-
Shifts that are disputed due to punching out outside of an enforced geofence will have a note attached to them for clarity on why they are in review.
-
- Date(s) - Select the inclusive date(s) for your job. Click as many dates as necessary to complete your job. You can also add more dates later.
- Shift Instructions - This is what truckers your drivers and 3rd party haulers who accept this job will see. It is critical to post descriptive details about your work. Include information like the type of haul and material. Is it a short or a long-haul? Note the expected loads or tons per truck so a hauler can estimate the daily revenue for the work. What type of material is to be hauled? Asphalt? Clean fill? Something else? Is there any special equipment required to haul the material? A steel bed? An asphalt tarp? A special trailer hitch? Are there any prohibited items (e.g., a pintle hook)? Learn more best practices here.
- Click CONTINUE and complete the remaining fields
- Rate Type - Select your pay rate option. You can pay by HOUR, TON, LOAD, CUBIC YARD, or GALLON. Gallon as a rate type must be approved by Trux before enabled on your account, reach out to support@truxnow.com for assistance.
- Truck Type(s), # Trucks, and Rate - Click the Truck Type drop-down list and select all of the truck types that you are willing to accept for your job. Enter the number of trucks you need. Enter the rate you will pay (Hourly, Per Ton, or Per Load based on the rate type you've chosen in the previous step). All truck types will receive the same pay rate. If you will be paying a different rate for each truck type, click + ADD MORE for each of those truck types.
- + ADD MORE (optional) - If you will need/accept additional truck types but will pay them a different rate based on the truck type, click this button to add the truck type(s) and pay rates.
- Require Load Slips - Check this job checkbox if you want to require haulers to upload a picture of each load slip for each delivery and select the unit of measurement the load is expected to be in. NOTE: This is optional for Hourly pay and will be automatically checked for pay by TON, CUBIC YARD, GALLON and pay by LOAD.
- Material Type - Select the material that needs to be hauled.
- Payment Terms - The payment terms that you selected when you created the project will appear in this field. You can change the terms or keep them as-is. These terms will appear on every shift that you assign to a 3rd party hauler and tells them when to expect payment from you. These terms will not appear in the job details that your employed drivers see.
-
Cost Code (optional) - You can select one or more cost codes to assign to the work for tracking purposes. If you assign multiple cost codes, you must select one to be the primary cost code which will be the one the hauler starts the job with. You must create the cost codes within your account before they are available to select here.
- You can also indicate if the hauler is able to change cost codes during the project. If checked, the hauler will be able to select to change cost codes during their shift to any other cost code you have added here.
- If you would like to save this shift as a draft, click CREATE DRAFT when done. This will create the shift is "Draft" Status which allows you to edit details including the assignment of the shift without any assigned hauler being notified. If you do not need to use the draft function, click SCHEDULE WORK when done.
- Your newly-created shifts will appear on the SHIFTS screen.
