Dispatch Order Confirmation
In this release, we are introducing another component to the Vulcan Powered by TRUX experience - the Order Confirmation email. This feature allows dispatchers to send an automated email to each customer that contains important details about their order so that everyone is in sync and both parties can reduce the chance of errors and unnecessary follow-up.
How do I send an Order Confirmation?
As you are creating a dispatch order, you will see a new check box for Order Confirmation.
If you have checked this box, when you click SAVE on the Create Dispatch Order screen you will receive the Dispatch Order Confirmation preview.
From here, your three options are as follows:
- EDIT - returns you to the DO Edit page where you can make changes to the order before saving it.
- SEND LATER - creates the DO but does not send an Order Confirmation
- SEND NOW - creates the DO and sends an Order Confirmation to the selected Delivery Contact (all other selected contacts will be Cc'd)
How do I know if an Order Confirmation email has been sent?
Order Confirmation status is tracked where you track Dispatch Order Progress. You will be able to see the current status in two places: 1) hovering over the icon on the summary order view and 2) on the Edit Dispatch Order view.
Clicking the Order Confirmation status icon will open the Dispatch Order Confirmation preview and allow you to EDIT the order or RESEND the confirmation.
What happens when a Dispatch Order is updated?
You can send an updated version of the Order Confirmation in cases where a dispatch order changes after the original was sent to the customer contact(s). First, you will know if updates that will trigger an updated confirmation have been made to an order from the Dispatch Order Progress screen.
The following dispatch order updates will trigger the ability to send and updated confirmation:
- changing the state date/time
- changing the delivery address
- adjusting the order quantity
If you make any of the above changes to an active dispatch order, you will automatically send an updated Order Confirmation to the order contact(s) when you click SAVE & SEND after making the edits. If you click SAVE after making the edits, you can click the Order Confirmation status icon to open the preview and click SEND NOW to send the updated confirmation.
New, cleaner tab and page design elements
We've made some visual changes to the look and feel of our screens.
Why did we do this? In addition to providing a cleaner, more modern design, these changes allow us to recapture valuable screen space and improve the look and feel of our application when accessing TRUX on a mobile device browser.
Additional Truck Owner functionality
Truck Owners accessing TRUX on the web are now able to download load slips from the SCHEDULE screen and export Estimated Earnings from the EARNINGS screen.
